Rental Policies

By entering your vacation rental home, you are accepting complete adherence to rules set forth in this document. (You will receive a copy of it via email)

Our phone number is 541.996.8800. Our office hours are 8:30 A.M. – 5:00 P.M. Monday-Friday, 10:00am - 4:00pm on Saturday & Sunday.
If you are not able to reach us during regular business hours, please leave a message and your call will be returned as soon as possible.
Voicemail and email messages are checked frequently throughout each day and are returned as soon as possible.

Arrival/Departure
Check-in: after 4:00 P.M.
Check-out: before 11:00 A.M.

No other check-in is required once confirmation and payment are received.
Directions to the house and key codes for the lock box are provided at time of payment in full. If you require additional time to check-out, please contact our office.
A $50 fee may be charged for late check-outs or early check- ins unless previously arranged.

Payment Procedures
One night's lodging is required to hold a reservation. Remaining balance is due 30 days prior
to arrival. We will process all costs by credit card unless other arrangements are made.
Seahaven Rentals requires a non-refundalbe cleaning fee of $115.00 to $230.00 depending on the home.
All current City/County and State room taxes will apply (currently 10.00% - 10.50%, subject to change).
When paying by credit card, the $200.00 refundable security deposit is not required.
However, Seahaven Rentals reserves the right to charge your credit card account up to $200.00 if policies are not adhered to (i.e. quiet hours, maximum occupancy, check-out procedures, pet policy, etc.).   
Seahaven Rentals reserves the right to charge additional fees for any damages that occurs during your stay. In the event your reservation goes to a collection agency or attorney, additional fees for their services will be added to any balances owed.


Cancellations
Should the need to cancel arise 31 days or more, prior to your arrival, you will receive a full refund less a $75 cancellation fee. 15-30 days prior to arrival, 75% of total costs (lodging + tax + cleaning) will be refunded; 8-14 days prior to arrival, 50% of total costs (lodging + tax + cleaning) will be refunded; 7 days prior to arrival, no refund.
If you shorten the length of your stay within 31 days or more, prior to your arrival, you will receive a full refund for the cancelled nights less a $75.00 cancellation fee. Within 30 days of your arrival date, you will be charged 30% of total costs of the cancelled nights; 7 days prior to arrival, no refund for cancelled nights.
For reservations made within 30 days of your arrival date, above rules apply.
No refund for late arrivals or early departures. Management reserves the right to terminate your contract with no refund if any rules set forth have been ignored.


Housekeeping
Our housekeeping staff works diligently to prepare each home in preparation for your arrival. We provide an intial supply of tissue, toilet paper, paper towels, bath soap, laundry and dish detergent. However, we do not replenish products during your stay. Clean bed linens, bath towels and beach towels are also provided. Most homes are equipped with a washer and dryer if needed. Please leave the home in the same general condition as it was when you arrived. Staff will arrive shortly after your departure to thoroughly clean and inspect your home.
All food and drink spills need to be cleaned up immediately. Food and drink spills on carpet and furnishings are considered to be damage not normal wear and tear. Spiked heals, golf cleats, etc. are not to be worn on wood floors.
The refrigerator needs to be emptied of all food and free of spills. All used dishes need to be rinsed and placed in the dishwasher on the wash cycle. Do not leave any dirty dishes for our crew to clean.

Dirty linens need to be stripped from the beds and placed in the laundry room.
Damage charges will be charged to your account in the event that excessive cleaning is needed following your departure.

Pet Policy
There is a $35.00 non-refundable pet deposit, charged per pet, for "pet-friendly" homes. Please no pets on any furniture, including beds, couches, chairs, etc.
Pets are prohibited in homes that are not designated as “pet friendly.”
Should we discover a pet has been or is in the home without prior approval, you will be charged a fee for pest control, a deep clean and $200.00 security deposit (usually amounting to $350.00).

Smoking Policy
Absolutely No Smoking is Allowed in Any of Our Homes! If you violate this policy you will be fined.

Quiet Hours
10:00 P.M. - 10:00 A.M. Monitored and Enforced! No loud music or loud conversation while outside the home during quiet hours. Be courteous while on decks and in the hot tub.
If Seahaven Rentals management receives a noise complaint from neighbors during your stay, you will be automatically fined at least $75.00. Fines can be higher depending on the severity of the issue. Repeated offenses will result in additional fines and/or dismissal from the home.

Parking
There is a 4 car maximum at each rental property, except for Puffin's Perch and Spinnaker Run, where there is enough room for 6 cars maximum and
Pelican Reach where there is enough room for 5 cars maximum and The Lighthouse where there is a 3 car maximum.

Maximum Occupancy
The maximum occupancy (which includes children) is stated in all accommodation descriptions. It can be negotiable depending on the property and circumstance. If you exceed the maximum occupancy of your accommodations you will be asked to leave with no refund. Monitored and Enforced !
Seahaven Rentals rents to adults over the age of 25 and families only. No teens or college parties. We reserve the right to refuse service to anyone.

Utilities
Seahaven Rentals, Inc. is not responsible for any utility outage or failure.


Hot Tub

Use at your own risk. Do not remove brominator (floating disinfectant). Do not use if you are pregnant, have a medical condition or are under the age of 12. (Please see additional attached rules. If these rules are not followed, a rash or other illness could result. Seahaven Rentals Inc. will not be held liable). Please call for additional cleanings as desired. For heavy usage or extended stays, we recommend scheduling an additional clean (at no extra charge to you).

Keys
One key is provided at each home and it is located in the lockbox. A $25 lock replacement charge will apply if keys are missing.

*Violation of any of these policies may result in forfeiture of deposit, additional fees and early termination of guests stay.
*Guests agree to hold Seahaven Rentals Inc. and homeowners harmless for damages to self
and/or property resulting in accident, injury, loss due to weather or for any other reason.
**Terms, Conditions and Policies are subject to change. Seahaven Rentals Inc. reserves the
right to cancel reservations (with a full refund) at Seahaven Rentals Inc.'s sole discretion.


RULES FOR HOT TUB

1. Do not remove or adjust floating device “brominator”. Tampering with or removing the
    “brominator” will cause chemicals to be out of balance.
2. Use hot tub at your own risk.
3. Shower and rinse off any sand and body lotions.
4. Do not use while intoxicated.
5. No food or beverages while in tub.
6. No children under the age of 12.
7. Extended stay guests may request an additional cleaning.
8. Do not change temperature.
9. Use pump & light controls only.
10. Keep noise to a minimum.
11. Respect quiet hours (10:00 PM–10:00 AM).
12. Replace cover while not in use.
